GST E-Invoice: Who Needs It, How It Works and Choosing E-Invoice Software

GST e-invoicing sounds complicated, but the idea is simple: your B2B invoice is reported to a government portal the moment you create it, and the portal returns a number and QR code that make it valid.

How E-Invoicing Works

  1. You create the invoice in your billing software as usual.
  2. The software sends the invoice data (JSON) to the Invoice Registration Portal (IRP).
  3. IRP validates it and returns an IRN and a signed QR code.
  4. Your software prints them on the invoice and shares it with the buyer.
  5. Details flow into GSTR-1, and the e-way bill can be generated from the same data.

Who Needs E-Invoicing

E-invoicing is mandatory for businesses whose aggregate turnover crosses the limit notified by the government. The limit has been reduced step by step — it became ₹5 crore from 1 August 2023 — and some taxpayers also have a time limit for reporting invoices after their date. Rules change through GST notifications, so confirm the current position on the official portal or with your CA before deciding.

What to Look for in E-Invoice Software

  • Direct connection to IRP through an authorised GSP/API.
  • GSTIN validation and HSN checks before submission.
  • Cancel/credit-note flow within the allowed time.
  • E-way bill generation from the same invoice.
  • GSTR-1 ready reports and Excel export for your CA.
  • Invoice sharing on WhatsApp and email.

Cost

Adding e-invoicing to a custom billing system usually falls within our GST billing software range of ₹15,000 – ₹1,50,000+, depending on what you already have. GSP/API charges are separate and depend on invoice volume.

Frequently Asked Questions

1. Is e-invoicing mandatory for my business?

It depends on your aggregate annual turnover. The limit has been lowered in stages (₹5 crore from 1 August 2023). Always confirm the current limit on the official GST or e-invoice portal or with your CA.

2. What is IRN?

IRN (Invoice Reference Number) is a unique number the Invoice Registration Portal gives to each reported invoice, along with a digitally signed QR code.

3. Do e-invoices apply to B2C sales?

E-invoicing applies to B2B invoices and exports. Some large businesses must show a dynamic QR code on B2C invoices — check the latest rules for your turnover.

4. Can my existing billing software do e-invoicing?

Yes, if it can connect to the IRP through an authorised GSP or API. We can add this to custom billing software.
